Winter Adventure Weekend 2025 Registration


Greetings Adventurer! Carter Caves offices will be closed from December 21-26 for the Holiday season. We will be back in to follow-up with any questions or issues you may have on Friday December 27th. We have made some changes to the registration process this year and instructions below will help walk you through the steps. You will notice that field trip descriptions and required equipment are not displayed during online registration, so please take some time to research the trips you are interested in before starting the registration process. Remember, field trips cannot overlap (e.g., A user who selects a 2-hour trip, starting at 8:30am field trip, cannot sign up for a 10:00am field trip), and field trips have a maximum number of participants. They cannot be overbooked.

INSTRUCTIONS: To get started, you will need to create an account and verify your email address.


Once verified and logged into the site:
  1. Enter group leader demographics and contact information (and group name if desired) on the My Group tab (if registering as a single person, this will be the the profile used for your field trip selection)
  2. Setup your group and add group members (if applicable)
  3. From the Trips tab, select desired field trips and register participants for each trip. confirm by clicking register selected members for the trip
  4. Repeat for all desired field trips. (The registration platform will only allow selections that meet time & age parameters for each registrant)
  5. From the Merch tab, select desired merchandise and quantities.
  6. Review your groups registration information from the My Group tab under Trip Registrations and Merchandise Selections
  7. If desired, on the ""Merchandise Selections"" screen, assign individual selected merchandise items to specific group members, then save your selections
  8. If all information is correct, choose Checkout from the navigation menu at the top to complete your registration and pay
**Your trips are held as soon as you add them to your registrations, but will be lost if you do not complete payment in one hour.**

You can come back anytime and see your trips, add more activities,and make additional purchases. We look forward to seeing you in January!

Some important things to remember:

  • You can register for as many trips as you wish, but do note most have an ala carte charge associated with them.
  • You must be age 15 or older to register for Level 3 and Level 4 trips.
  • Drop in field trips do not require registration.
  • You will be able to log back in and add participants at a later date.
  • You will be able to login and add trips at a later date, and you can remove yourself from trips but paid trips are non-refundable.
  • Organized Groups: (e.g. Boy Scout & Girl Scout Groups) Please enter your group or leader name so we can identify all of your participants.
  • Please complete the registration process without delay as trips can fill up quickly.
  • Winter Adventure Weekend is limited to children ages 6 years and above, and children 6-15 MUST HAVE ADULT SUPERVISION during the event.
  • ALL PARTICIPANTS WILL BE REQUIRED TO SIGN A WAIVER OF LIABILITY TO PARTICIPATE IN WAW
  • Your trips are held as soon as you add them to your registrations, but will be lost if you do not complete payment in one hour.
